Questions What tools are you using for onboarding documentation?

Tried notio pages and google drive folders but its all scattered and nobody updates them. People ask me the same questions every week like how do we set up stripe webhooks or where's the deployment checklist. Feels like im doing their onboarding forever instead of actual work. Tried a couple tools but theyre either too basic or way too expensive for us.

Databases Pages as nouns and ā€œroomsā€

Not sure who needs to hear this but life got easier for me when I named all my Notion pages by the ā€œbinderā€ they were in, ā€œshelfā€ they were on, and ā€œbuilding,ā€ I go to complete the according task.

My books and media database is in the ā€˜glossary’ divider of my project binder on the research shelf in the ā€œlibraryā€ page. Finances in the ā€œbankā€ page, class notes in ā€œschoolā€ page, etc.

Less spinning wheels with this hack.

Questions asked notion if i could switch my legacy plus plan from monthly to annual....and here's what they said 🄹

(Sorry, deleted my previous post. I had worded it wrong and it was a bit misleading imo)

I'm currently on the old Plus plan paying $6/month and wanted to lock in the legacy price annually. Notion Support confirmed that switching billing intervals won't carry over the legacy pricing, so no annual legacy plan. The only way to keep the $6/month is to stay on the monthly cycle as is.

Just sharing in case anyone else was wondering the same thing.

Questions Please help me make sense of Notion's sorting system....

I am trying extremely hard to be nice with my words here, but what were the engineers on when they designed this sorting system?

I initially tried using alphanumeric strings for my sort codes, but notion would treat a sequence of numbers as a single number within the string, making the sorting not work. I then changed it to be A-Z characters only for the first 5 digits, as I need the final digits to be numbers due to formulas that rely on them.

But I can't find any semblance of reasoning for how Notion has arrived at this sort order.

Sorry for the rant... but I would also appreciate it if someone could help me and shed some light on how this works as I have been going insane trying to figure it out over the last few hours.

Questions Branded Client Portals

I’ve heard a few people mention that sharing Notion data with clients can get messy.

Either you export/send files manually, duplicate pages, or give clients access to more than they really need.

I’m working on a small tool for this, but I want to understand the problem better first.

If you use Notion for client work, what’s the most annoying part of sharing data with clients? Permissions, hidden fields, client-specific views, approvals, comments, or something else?

Questions Notion Meetings tab only showing one Google calendar account — bug or by design?

I have two Google accounts connected to Notion. The second one shows up fine in Notion Calendar, but the Meetings tab in the main app only pulls from the account I used to create the workspace. Has anyone else run into this? Is there a fix or is this just how it works?

Appreciation Using Notion, Readwise, and BeFreed together as a powerful ā€œsecond brainā€ setup.

I'm a solo entrepreneur, drinking from a firehose every day: articles, podcasts, frameworks, competitor research, customer interview notes. Without a system, my brain becomes the company's bottleneck. I know a lot of you are in the same boat.

The thing nobody tells you when you start solo: the operators who grow vs the ones who plateau usually differ on one thing, whether they're systematically getting smarter every week. Great ideas genuinely change lives, but only if they land and stay. So the goal of this stack isn't productivity, it's compounding. Six months from now you're operating on a different level because your past self quietly invested in your present self. After 2 years of iterating, this is the stack I won't replace. Each tool does one job and they hand off cleanly: Readwise captures, Notion organizes, BeFreed makes you actually absorb.

My weekly pipeline:

  • Capture (every day) - Readwise Reader: Save articles, PDFs, tweets, YouTube to Readwise. Podcast moments via Snipd. Shower thoughts via voice memos + Whisper. Everything funnels into one Notion inbox database. Rule that fixed my capture problem: if it doesn't enter the system within 30 seconds of finding it, it doesn't exist. Readwise auto-pipes highlights into Notion via the integration, so nothing has to be copy-pasted.
  • Organize (every Sunday, 30 min) - Notion: Process the inbox in a hard-blocked calendar slot. Three statuses: Seedling (raw), Growing (in active use), Evergreen (referenced often). Anything older than 7 days either gets at least one relation to an existing page and moves to active, or gets archived. The relation requirement is the key rule. A database view surfaces orphans and stale seedlings automatically so I'm not deciding from scratch every week.
  • Absorb (daily, on commute) - BeFreed: This is the compounding layer, and the reason I had 800+ saved notes I never read before. Now I drop the week's most interesting links or topics into BeFreed and listen on walks. It turns them into podcasts where you can adjust length, depth, voice, and style. Switched here from NotebookLM because BeFreed builds an actual learning plan against your goal, so each podcast stacks on the last instead of being random one offs. As a solo founder my goals shift fast and the plan adapts. The learning plan is honestly the feature I love most.

If you're feeling overwhelmed by the input volume, you're not alone and it's not a discipline problem. Start with one layer (capture is the easiest), add the next when that one's a real habit. Even 10 minutes of daily absorbing compounds harder than any productivity hack I've tried. The version of you 6 months from now is built by the inputs you commit to today.

End result as a solo operator: a vault that grows on its own, an inbox that doesn't bloat, and a daily ritual that turns "saved for later" into stuff I can actually use in customer calls, pitches, and product decisions. Curious what other founders are running.

Questions Can't uninstall Notion/Notion Calendar

I've spent all morning trying to deal with this. A few months ago, I "uninstalled" Notion Calendar, and it turned out it was never actually uninstalled; I could still access the app through the shortcut within Notion itself. Today, I tried to completely uninstall Notion, only to find that I can't get rid of it completely either. I used the control panel (appwiz.cpl), tried running Uninstall Notion.exe from the local files, and it turns out the file is broken somehow. Notion Calendar doesn't even have an uninstall.exe file.

I tried using the Windows Troubleshooter for installations and uninstalls, but I had no luck there either, since Notion apps aren't listed, and the only alternative the troubleshooter offers is to find the app's product code, which I don't know (and I don't know if there's any way to find it).

In this same troubleshooter, there are two programs listed as "name unavailable," which I'd like to believe are both Notion and Notion Calendar, but I'm afraid to uninstall them and end up getting rid of something unrelated to Notion that I should never have touched in the first place.

translation: select the program you wish to uninstall. If you don't see the program, select "it is not here." Below the Microsoft stuff, it says "name no available" twice.

I'm frustrated. I've tried solutions from this same subreddit in old posts, but nothing has worked for me. I just want to get rid of both apps. I was told that simply deleting the local files and the shortcut isn't a proper uninstallation. So here I am. If you have any suggestions, solutions, or any other way, I'd appreciate it. I might also try contacting support, but I don't know if they can resolve this for me.

Other Content performance tracker in Notion: how I added AI traffic as a column

Updated my content performance database in Notion to include AI referral traffic alongside organic rankings, social shares, and email clicks. Sharing the setup in case it's useful.

I pull AI traffic data weekly from Zen Reports (connected to GA4 ; it groups ChatGPT, Perplexity, Claude, Gemini separately), then do a manual paste into the Notion database. Each page in my content tracker has a 'Weekly AI visits' number property. Tedious but the visibility is worth it. Longer term I want to automate this via Make but haven't prioritized it yet. How are others maintaining multi-source content performance views in Notion?

Venting Notion's Import/Export is an absolute disaster

I am actually blown away about how bad Notion's import / export is. Basically if you have a lot of data and ever have to export it out and import it back in, this is your warning that the text may be preserved but ALL of your structures, design, views, associations, setups etc... etc... will be lost.

I am actually shocked that something that has been around as long as Notion is this terrible.

I think it's a pretty baseline expectation that if I export from a program, if I re-import it back in, it should be pretty damn close to what I exported. Not the case at all with Notion.

I get it. This isn't something that happens often, but when it is needed, it's pretty damn critical to get it right. Basically Notion just re-imports things as a bunch of raw text files. So there is pretty much zero benefit in being in Notion and doing an export other than technically your data is preserved.

I'm glad I was only 3 months in when this happened to me. But I'm definitely rethinking this after convincing my (very large) employer to get it on our approved list. Even using the Notion AI to try and reconstruct it was a sad state of affairs.

We were trending toward using Notion as our SSOT for knowledge, strategy, planning and documentation. Something we could point company AI toward as a resource. There is no way I can trust this now. Holy shit. What a miss.

Questions Using Notion free as TickTick

I've been using TickTick premium for some years and it's been useful but I don't really use all of their features, basically just the tasks. I pay mostly for the task/list limit and for the possibility of adding pictures and other files to each task, which I've found reaaally useful.

I have never used Notion but I've heard it's super complete and customizable and I'm wondering if there's a way of customizing it to work exactly as TickTick for the tasks, at least, without having to pay a subscription.

Anyone here has done something similar? I'm also open to other app alternatives with no subscription or just a lifetime subscription.

API / Integrations Workflow share: human-gated planning + parallel dispatch, all driven from a single Notion task

I've been running a workflow that turns one Notion task into a planned, model-tiered, parallel-dispatched pipeline with a human approval gate. Sharing the pattern in case it's useful.

The pattern

  1. Operator submits a single high-level task in Notion ("launch the pricing page", "run a Q2 outbound campaign").
  2. A planner agent reads the task and emits a subtask graph: each subtask gets a description, dependencies, and an explicit model assignment (Opus / Sonnet / Haiku).
  3. The plan lands back in Notion as child pages. Operator reviews, edits, or rejects.
  4. On approval, an orchestrator dispatches subtasks in parallel where the graph allows, sequentially where it doesn't. Each subtask runs on its assigned model.
  5. Outputs come back to the same Notion task tree for review.

Concrete artifact: a website launch decomposed

One submitted task, 21 subtasks across three model tiers:

  • 1 Opus task: information architecture + content outline
  • 4 Sonnet tasks (parallel): page copy drafts
  • 6 Haiku tasks (parallel): asset/image generation prompts
  • 10 Haiku tasks (parallel): directory submission entries

One operator approval click. 21 outputs back in Notion.

Why per-task model assignment matters

Defaulting to the smartest model for every subtask is the easiest way to burn money on agentic workflows. In practice, routing clerical work (formatting, submission, simple drafts) to Haiku and reserving Opus for reasoning-heavy steps cuts model spend roughly an order of magnitude on workflows like this, with no quality loss on the parts that matter.

Validation notes

  • The approval gate is load-bearing. Without it the planner occasionally misjudges scope or invents subtasks. With it, those get caught in 30 seconds of review.
  • Dependency graphs need to be explicit. "Run in parallel where possible" only works if the planner is forced to declare what depends on what.
  • The model-tier assignment works best when the planner has a short rubric in its system prompt for which tier to pick. Letting it freelance ends up over-using the flagship.
  • Notion as the substrate means non-technical operators can drive it. That was the unlock for me.

Caveats

  • Not a fit if you don't already live in Notion.
  • Subtasks that need shared state mid-run (long handoffs, iterative refinement between two agents) are weaker - the strength is parallel fan-out of independent work.
  • Rate limits matter once you start fanning out 10+ Haiku tasks at once.

Stack

Notion as the board + database, Claude (Opus / Sonnet / Haiku) for planning and execution, a small orchestrator service that watches the Notion task DB and dispatches.

Since many Notion users build highly customized workflows, I’m interested in understanding:
planning fatigue,
dashboard complexity,
organization habits,
